Step 1: Gross Pay And Taxable Income

The starting point is your gross pay per paycheck, which is the amount you earn before any deductions. Many plans also include pre-tax deductions such as retirement contributions or pre-tax health insurance premiums. These reduce your taxable income.

The taxable income per paycheck is calculated as:

Taxable income per paycheck = Gross pay per paycheck − Pre-tax deductions

If pre-tax deductions are greater than gross pay, the calculator treats taxable income as zero to avoid negative taxable income. This reflects the idea that you cannot be taxed on more than you earn in that paycheck.

Step 2: Apply Percentage Tax Rates

Once taxable income is known, the calculator applies percentage rates for each tax category you specify. For an income tax rate t%, the income tax per paycheck is:

Income tax per paycheck = Taxable income × t ÷ 100

Similarly, if s% is the Social Security rate, m% is the Medicare or similar health tax rate and o% is an additional payroll tax rate, then:

Social Security per paycheck = Taxable income × s ÷ 100
Medicare per paycheck = Taxable income × m ÷ 100
Other payroll tax per paycheck = Taxable income × o ÷ 100

The total tax per paycheck is the sum of all these components:

Total tax per paycheck = Income tax + Social Security + Medicare + Other payroll tax

Step 3: Post-Tax Deductions And Net Pay

Post-tax deductions are amounts taken from your pay after taxes are calculated. This might include certain insurance premiums, union dues or other voluntary deductions that are not pre-tax.

Let Dpost be the total post-tax deductions per paycheck. Net pay per paycheck is then:

Net pay per paycheck = Gross pay per paycheck − Total tax per paycheck − Dpost

This net pay is the amount you actually receive in your bank account for that pay period.

Step 4: Pay Frequency And Annual Totals

The calculator also estimates annual totals by multiplying each per-pay amount by the number of pay periods per year. If there are N pay periods per year, then:

Annual gross pay = Gross per paycheck × N
Annual total tax = Total tax per paycheck × N
Annual net pay = Net pay per paycheck × N

The pay frequency selector helps you set N quickly. For example, N = 12 for monthly pay, 24 for semi-monthly pay, 26 for biweekly pay and 52 for weekly pay. You can also choose a custom number of pay periods if your schedule is different.

Example Paycheck Breakdown

Suppose your gross pay per paycheck is 2,500, pre-tax deductions are 200 and you are paid biweekly with 26 pay periods per year. You enter 20% for income tax, 6.2% for Social Security, 1.45% for Medicare and no other payroll tax rate. Post-tax deductions are 50 per paycheck.

Taxable income per paycheck is:

Taxable income = 2,500 − 200 = 2,300

Income tax is:

Income tax = 2,300 × 20 ÷ 100 = 460

Social Security tax is:

Social Security = 2,300 × 6.2 ÷ 100 = 142.60

Medicare tax is:

Medicare = 2,300 × 1.45 ÷ 100 = 33.35

Total tax per paycheck is the sum of these amounts:

Total tax = 460 + 142.60 + 33.35 = 635.95

Net pay per paycheck is then:

Net pay = 2,500 − 635.95 − 50 = 1,814.05

Annual net pay estimated over 26 pay periods is:

Annual net pay ≈ 1,814.05 × 26
